The operational challenge
Before the project, patient information was heavily dependent on paper files. Retrieval required staff to locate and handle physical records, which slowed access and made information management more labour-intensive. The growing volume of records also placed pressure on available storage space.

1. Assessment and project planning
ScanBox began by reviewing the existing records environment and the way information moved through the hospital. This established the capture requirements, indexing structure, operational dependencies and integration expectations before production began.

2. Structured capture, indexing and quality control
The records were prepared, scanned and captured using Optical Character Recognition and defined indexing requirements. The goal was to produce more than a visual copy of each page. The digital output needed enough structure to support search, retrieval and downstream use.
Quality control was essential throughout the process. Record identity, image quality, indexing accuracy and exception handling had to be managed so that the digitized information could be relied on after handover.
3. Integration with the Electronic Health Records system
The captured records were classified and matched with the hospital's patient database for use within its EHR environment. This changed the practical value of the project. Instead of creating a separate digital archive that staff would have to search independently, the information could support the system already used in hospital operations.
Project outputs and operational impact
The project documentation records more than 4 million pages digitized across approximately 200,000 patient records. These volumes demonstrate the scale of the information transformation effort and the importance of disciplined capture, indexing and reconciliation.
Patient information became available through a digital retrieval process rather than a paper-only search.
Captured records were connected to the hospital's EHR environment, making the information more useful in daily operations.
